Abstract

A method and system for removing metadata from email attachments sent from mobile devices includes receiving an email with an attached document. The attached document has metadata removed to create a cleansed version of the attached document. The attached document is replaced by the cleansed version of the attached document, and the email is sent according to the address or addresses included in the email.

Claims (115)

1. A computer-based system for transmitting an electronic document, comprising:

an intermediate computer that is remote from an electronic device sending an email message, the intermediate computer including a memory storing instructions; and

a processor configured to:

execute the instructions to receive the email message from the electronic device, the email message having a delivery address,

execute the instructions to determine that the email message has an attached document including metadata,

execute the instructions to automatically create a cleansed version of the attached document by removing at least a portion of the metadata from the attached document,

execute the instructions to replace in the email message the attached document with the cleansed version of the attached document, and

execute the instructions to send the email message with the cleansed version of the attached document from the intermediate computer to the delivery address.

2. The system of claim 1 , wherein the processor is further configured to, when removing the at least a portion of the metadata, execute the instructions to invoke a metadata removal application.

3. The system of claim 1 , wherein the processor is further configured to execute the instructions to save the cleansed version of the attached document.

4. The system of claim 1 , wherein the processor is further configured to:

execute the instructions to notify an end user associated with the email message that the attached document included metadata.

5. The system of claim 1 , wherein the computer-based system is an email server or internet gateway.

6. The system of claim 1 , wherein the electronic device includes a smart phone, personal digital assistant, a tablet, or a web-mail server.

7. The system of claim 1 , wherein the electronic device includes a web-mail server.

8. The system of claim 1 , wherein the processor is further configured to, when automatically creating a cleansed version of the attached document, execute the instructions to remove only pre-specified types of metadata in accordance with a cleansing policy.

9. The system of claim 1 , wherein the processor is further configured to:

execute instructions to save an entry in a log to indicate the email message had the attached document replaced by the cleansed version of the attached document.

10. A computer-based system for transmitting an electronic document, comprising:

an intermediate computer that is remote from a mobile electronic device sending an email message, the intermediate computer including a memory storing instructions; and

a processor configured to:

execute the instructions to receive the email message having a delivery address from the mobile electronic device,

execute the instructions to determine that the email message has an attached document,

execute the instructions to determine that the attached document is to be cleansed of metadata according to a cleansing policy,

execute the instructions to automatically remove metadata from the attached document,

execute the instructions to create a cleansed version of the attached document at the intermediate computer,

execute the instructions to replace in the email message the attached document with the cleansed version of the attached document, and

execute the instructions to send the email message with the cleansed version of the attached document from the intermediate computer to the delivery address.

11. The system of claim 10 , wherein the processor is further configured to execute the instructions to save the cleansed version of the attached document.

12. The system of claim 10 , wherein the cleansing policy specifies the attached document is to be cleansed if it is an RTF document, a PDF document, a word-processing document, a spreadsheet, a presentation document, a diagram document, or a web page document.

13. The system of claim 10 , wherein the cleansing policy specifies the attached-document is to be cleansed if the attached document comes from a specific user.

14. The system of claim 10 , wherein the cleansing policy specifies the attached document is to be cleansed if the attached document is a company document or a document from a specific department.

15. The system of claim 10 , wherein the cleansing policy specifies the attached document is to be cleansed if the attached document contains a pre-specified type of metadata.

16. The system of claim 10 , wherein the cleansing policy allows a user to choose not to cleanse pre-specified types of metadata.

17. A computer-based system for transmitting an electronic document, comprising:

an computer that is remote from a device sending a message, the computer including a memory storing instructions; and

a processor configured to:

execute the instructions to receive the message, the message including a document including metadata,

execute the instructions to automatically create a cleansed version of the document by removing at least a portion of the metadata from the document,

execute the instructions to replace the document received with the message with the cleansed version of the document, and

execute the instructions to transmit the message with the cleansed version of the document.

18. The system of claim 17 , wherein the message includes an email message.

19. The system of claim 17 , wherein the processor is further configured to, removing the at least a portion of the metadata, execute the instructions to invoke a metadata removal application.

20. The system of claim 17 , wherein the processor is further configured to execute the instructions to save the cleansed version of the document.

21. The system of claim 17 , wherein the processor is further configured to execute the instructions to notify an end user associated with the message that the document included metadata.

22. The system of claim 17 , wherein the computer-based system is an email server or internet gateway.

23. The system of claim 17 , wherein the message is received from a smart phone, personal digital assistant, a tablet, or a web-mail server.

24. The system of claim 17 , wherein the processor is further configured to execute the instructions to notify an administrator associated with the computer-based system that the document included metadata.

25. The system of claim 17 , wherein the processor is further configured to, when automatically creating a cleansed version of the document, execute the instructions to remove only pre-specified types of metadata in accordance with a cleansing policy.

26. The system of claim 17 , wherein the processor is further configured to execute the instructions to save an entry in a log to indicate the message had the document replaced by the cleansed version of the document.

27. The system of claim 17 , wherein the processor is further configured to, when transmitting the message, execute the instructions to transmit the message to a delivery address.

28. The system of claim 17 , wherein the processor is further configured to, when transmitting the message, execute the instructions to transmit the message according to delivery instructions.

29. The system of claim 17 , wherein the computer system comprises a series of computers.

30. A computer-based system for transmitting an electronic document, comprising:

an intermediate computer that is remote from a device sending a message, the intermediate computer including a memory storing instructions; and

a processor configured to:

execute the instructions to receive the message from the device, the message including a delivery address and a document,

execute the instructions to determine that the document is to be cleansed of metadata according to a cleansing policy,

execute the instructions to automatically create a cleansed version of the document by removing metadata from the document,

execute the instructions to replace the document received with the message with the cleansed version of the document, and

execute the instructions to send the message with the cleansed version of the document to the delivery address.

31. The system of claim 30 , wherein the processor is further configured to execute the instructions to save the cleansed version of the document.

32. The system of claim 30 , wherein the cleansing policy specifies the document is to be cleansed if it is an RTF document, a PDF document, a word-processing document, a spreadsheet, a presentation document, a diagram document, or a web page document.

33. The system of claim 30 , wherein the cleansing policy specifies the document is to be cleansed if the document comes from a specific user.

34. The system of claim 30 , wherein the cleansing policy specifies the document is to be cleansed if a document property value of the document matches a pre-specified document property value.

35. The system of claim 30 , wherein the cleansing policy specifies the document is to be cleansed if the document contains a pre-specified type of metadata.

36. The system of claim 30 , wherein the cleansing policy allows a user to choose not to cleanse pre-specified types of metadata.

37. The system of claim 30 , wherein the message includes an email message.

38. The system of claim 30 , wherein the processor is further configured to:

execute the instructions to determine that the metadata includes a pre-specified type of metadata and responsive thereto, the processor does not execute the instructions to perform the creating, replacing, and sending operations.

39. The system of claim 30 , wherein the processor is further configured to execute the instructions to generate an alert that the message was not sent if the metadata includes a pre-specified type of metadata.

40. A non-transitory computer-readable storage medium storing instructions for transmitting an electronic document, the instructions causing one or more computer processors to perform operations comprising:

receiving, at an intermediate computer that is remote from an electronic device, an email message from the electronic device, the email message having a delivery address;

determining that the email message has an attached document including metadata;

automatically creating a cleansed version of the attached document by removing at least a portion of the metadata from the attached document;

replacing in the email message the attached document with the cleansed version of the attached document; and

sending the email message with the cleansed version of the attached document from the intermediate computer to the delivery address.

41. The storage medium of claim 40 , wherein the instructions cause the processor to further perform the operation of invoking a metadata removal application when removing the at least a portion of the metadata.

42. The storage medium of claim 40 , wherein the instructions cause the processor to further perform the operation of saving the cleansed version of the attached document.

43. The storage medium of claim 40 , wherein the instructions cause the processor to further perform the operation of notifying an end user associated with the email message that the attached document included metadata.

44. The storage medium of claim 40 , wherein the electronic device includes a smart phone, personal digital assistant, a tablet, or a web-mail server.

45. The storage medium of claim 40 , wherein the operation of automatically creating a cleansed version of the attached document further includes removing only pre-specified types of metadata in accordance with a cleansing policy.

46. The storage medium of claim 40 , wherein the instructions cause the processor to further perform the operation of saving an entry in a log to indicate the email message had the attached document replaced by the cleansed version of the attached document.

47. A non-transitory computer-readable storage medium storing instructions for transmitting an electronic document, the instructions causing one or more computer processors at an intermediate computer that is remote from an electronic device sending a message to perform operations comprising:

receiving the email message having a delivery address from the mobile electronic device;

determining that the email message has an attached document;

determining that the attached document is to be cleansed of metadata according to a cleansing policy;

automatically removing metadata from the attached document;

creating a cleansed version of the attached document at the intermediate computer;

replacing in the email message the attached document with the cleansed version of the attached document; and

sending the email message with the cleansed version of the attached document from the intermediate computer to the delivery address.

48. The storage medium of claim 47 , wherein the instructions cause the processor to further perform the operation of saving the cleansed version of the attached document.

49. The storage medium of claim 47 , wherein the cleansing policy specifies the attached document is to be cleansed if the attached document contains a pre-specified type of metadata.

50. The storage medium of claim 47 , wherein the cleansing policy allows a user to choose not to cleanse pre-specified types of metadata.

51. A non-transitory computer-readable storage medium storing instructions for transmitting an electronic document, the instructions causing one or more computer processors at an intermediate computer that is remote from an electronic device sending a message to perform operations comprising:

receiving the message from the device, the message including a delivery address and a document;

determining that the document is to be cleansed of metadata according to a cleansing policy;

automatically creating a cleansed version of the document by removing metadata from the document;

replacing the document received with the message with the cleansed version of the document; and

sending the message with the cleansed version of the document to the delivery address.

52. The storage medium of claim 51 , wherein the cleansing policy specifies the document is to be cleansed if the document comes from a specific user.

53. The storage medium of claim 51 , wherein the cleansing policy specifies the document is to be cleansed if a document property value of the document matches a pre-specified document property value.

54. The storage medium of claim 51 , wherein the cleansing policy specifies the document is to be cleansed if the document contains a pre-specified type of metadata.

55. The storage medium of claim 51 , wherein the instructions cause the processor to further perform the operation of generating an alert that the message was not sent if the metadata includes a pre-specified type of metadata.

56. A non-transitory computer-readable storage medium storing instructions for transmitting an electronic document, the instructions causing one or more computer processors at an intermediate computer that is remote from an electronic device sending a message to perform operations comprising:

receiving the message, the message including a document including metadata,

automatically creating a cleansed version of the document by removing at least a portion of the metadata from the document,

replacing the document received with the message with the cleansed version of the document, and

transmitting the message with the cleansed version of the document.

57. The storage medium of claim 56 , wherein the instructions cause the processor to further perform the operation of saving the cleansed version of the document.

58. The storage medium of claim 56 , wherein the instructions cause the processor to further perform the operation of notifying an end user associated with the message that the document included metadata.

59. The storage medium of claim 56 , wherein the message is received from a smart phone, personal digital assistant, a tablet, or a web-mail server.

60. The storage medium of claim 56 , wherein the instructions cause the processor to further perform the operation of notifying an administrator associated with the computer-based system that the document included metadata.

61. The storage medium of claim 56 , wherein automatically creating a cleansed version of the document further includes removing only pre-specified types of metadata in accordance with a cleansing policy.

62. The storage medium of claim 56 , wherein the instructions cause the processor to further perform the operation of saving an entry in a log to indicate the message had the document replaced by the cleansed version of the document.
