Abstract

The disclosed technology addresses the need in the art for providing workflow controls to shared content items stored on client devices, and enforcing content item check outs or content item locks for shared content items stored and accessed on client devices. The present technology further includes automatically locking a shared content item that is edited on a client device so that other team members cannot modify the content item. Accordingly, the present technology improves upon existing systems that provide workflow controls such as file check-in and checkout functionality by permitting users to access content items directly from the file system of their client device, and by providing automatic checkout and check-in functionality.

Claims (29)

1. A computer-implemented method comprising:

receiving, at a content management system from a first client device associated with a controlling user account, a communication for establishing a workflow control for a shared content item; and

sending synchronization notifications to client devices associated with at least one first user account and at least one second user account, at least one of the synchronization notifications including workflow control metadata that identifies the at least one first user account as having read-write access, wherein the read-write access is reserved for the at least one first user account while access to the shared content item is temporarily changed to read-only for the at least one second user account, wherein the workflow control metadata is identical for each of the client devices.

2. The computer-implemented method of claim 1 , wherein the workflow control metadata comprising attributes that label the shared content item as locked and by which user account.

3. The computer-implemented method of claim 1 , wherein the workflow control metadata comprising attributes that label when or a duration of the workflow control will be placed into effect.

4. The computer-implemented method of claim 1 , wherein the workflow control metadata is effective to provide each of the client devices with access permissions to be enforced locally at each of the client devices, respectively.

5. The computer-implemented method of claim 1 , further comprising:

receiving a second communication from one of the client devices to retrieve additional information from a metadata database about a workflow status of a locked content item.

6. The computer-implemented method of claim 5 , further comprising:

sending requested metadata sufficient for the one of the client devices to populate a prompt that includes information regarding a check-out status of the shared content item.

7. The computer-implemented method of claim 1 , whereby any of the at least one second user account that is not identified in the synchronization notifications has read-only access during which the read-write access is reserved for the at least one first user account.

8. A non-transitory computer readable medium comprising instructions stored thereon, the instructions effective to cause one or more processors of a content management system to:

receive, at the content management system from a first client device associated with a controlling user account, a communication for establishing a workflow control for a shared content item; and

send synchronization notifications to client devices associated with at least one first user account and at least one second user account, at least one of the synchronization notifications including workflow control metadata that identifies the at least one first user account as having read-write access, wherein the read-write access is reserved for the at least one first user account while access to the shared content item is temporarily changed to read-only for the at least one second user account, wherein the workflow control metadata is identical for each of the client devices.

9. The non-transitory computer readable medium of claim 8 , wherein the workflow control metadata comprising attributes that label the shared content item as locked and by which user account.

10. The non-transitory computer readable medium of claim 8 , wherein the workflow control metadata comprising attributes that label when or a duration of the workflow control will be placed into effect.

11. The non-transitory computer readable medium of claim 8 , wherein the workflow control metadata is effective to provide each of the client devices with access permissions to be enforced locally at each of the client devices, respectively.

12. The non-transitory computer readable medium of claim 11 , further comprising instructions effective to cause the one or more processors of the content management system to:

receiving a second communication from one of the client devices to retrieve additional information from a metadata database about a workflow status of a locked content item.

13. The non-transitory computer readable medium of claim 12 , further comprising instructions effective to cause the one or more processors of the content management system to:

sending requested metadata sufficient for the one of the client devices to populate a prompt that includes information regarding a check-out status of the shared content item.

14. The non-transitory computer readable medium of claim 8 , whereby any of the at least one second user account that is not identified in the synchronization notifications has read-only access during which the read-write access is reserved for the at least one first user account.

15. A content management system comprising:

one or more processors; and

at least one computer readable medium storing computer readable instructions that, when executed by the one or more processors are effective to cause the content management system to:

receive, at the content management system from a first client device associated with a controlling user account, a communication for establishing a workflow control for a shared content item; and

send synchronization notifications to client devices associated with at least one first user account and at least one second user account, at least one of the synchronization notifications including workflow control metadata that identifies the at least one first user account as having read-write access, wherein the read-write access is reserved for the at least one first user account while access to the shared content item is temporarily changed to read-only for the at least one second user account, and wherein the workflow control metadata is identical for each of the client devices.

16. The content management system of claim 15 , wherein the workflow control metadata comprising attributes that label the shared content item as locked and by which user account.

17. The content management system of claim 15 , wherein the workflow control metadata comprising attributes that label when or a duration of the workflow control will be placed into effect.
