Abstract

Embodiments of systems, methods, and computer-readable media for auditing electronic freight bills are disclosed. For example, one embodiment of the present invention is a method including the steps of receiving a first data source comprising a first set of data; receiving a second data source comprising a second set of data; generating a record comprising at least a portion of the first data set and at least a portion of the second data set; and conducting an audit of the record. In another embodiment, a computer-readable media comprises code for carrying out such a method.

Claims (55)

1. A method for auditing an electronic freight bill comprising:

generating, by a processor, a shipment record comprising one or more of a first data set from a first invoice or a second data set from a manifest;

receiving, by the processor, a second invoice comprising a third data set; and

conducting, by the processor and prior to authorizing a payment of the first invoice or the second invoice, an audit by comparing the shipment record to at least a portion of the third data set based on a range of predefined tolerances to determine whether there is a discrepancy between the shipment record and the third data set;

and wherein, upon a failure of the audit, the method further comprises:

receiving, by the processor, a replacement data source comprising a replacement data set;

generating, by the processor, a replacement shipment record comprising the replacement data set; and

conducting, by the processor, a second audit of the replacement shipment record.

2. The method of claim 1 , further comprising:

receiving the first invoice comprising the first data set; and

receiving the manifest comprising the second data set.

3. The method of claim 1 , wherein the shipment record comprises a plurality of data fields configured to be populated with data from one or more of the first invoice or the manifest.

4. The method of claim 1 , further comprising:

authorizing payment of the first invoice or the second invoice upon completion of the audit.

5. The method of claim 1 , further comprising:

generating a list comprising at least two shipment records that have failed the audit, wherein the list is configured to be viewed by an auditing entity.

The method of claim 1 , wherein each of the first data set and the second data set comprise at least one of: carrier identification, shipment identification information, bill of lading identification information, purchase order identification information, purchase order location, shipping company identification, consignee identification, vessel identification, carrier identification, shipment origination information, shipment destination information, shipment date, arrival date information, invoice identification information, shipment rate, shipped item identification, shipped commodity information, shipment volume, shipment quantity, shipment weight, container identification information, container size, quantity of containers, carton quantity, carton identification information, and carton contents.

7. A system for auditing an electronic freight bill, the system comprising:

a memory device;

a processor in communication with the memory device and configured to:

generate a shipment record comprising one or more of a first data set from a first invoice or a second data set from a manifest;

receive a second invoice comprising a third data set; and

conduct, prior to authorizing a payment of the first invoice or the second invoice, an audit by comparing data of the shipment record to the third data set based on a range of predefined tolerances to determine whether there is a discrepancy between the shipment record and the third data set;

and wherein, upon a failure of the audit, the processor is further configured to:

receive a replacement data source comprising a replacement data set;

generate a replacement shipment record comprising the replacement data set; and

conduct a second audit of the replacement shipment record.

8. The system of claim 7 , wherein the processor is further configured to:

receive the first invoice comprising the first data set; and

receive the manifest comprising the second data set.

9. The system of claim 7 , wherein the shipment record comprises a plurality of data fields configured to be populated with data from one or more of the first invoice or the manifest.

10. The system of claim 7 , wherein the processor is further configured to: authorize payment of the first invoice or the second invoice upon completion of the audit.

11. The system of claim 7 , wherein the processor is further configured to:

generate a list comprising at least two shipment records that have failed the audit, wherein the list is configured to be viewed by an auditing entity.

The system of claim 7 , wherein each of the first data set and the second data set comprise at least one of: carrier identification, shipment identification information, bill of lading identification information, purchase order identification information, purchase order location, shipping company identification, consignee identification, vessel identification, carrier identification, shipment origination information, shipment destination information, shipment date, arrival date information, invoice identification information, shipment rate, shipped item identification, shipped commodity information, shipment volume, shipment quantity, shipment weight, container identification information, container size, quantity of containers, carton quantity, carton identification information, and carton contents.

13. The system of claim 7 , wherein the processor is further configured to:

generate an approval notification message, a failure notification message, or a discrepancy notification message upon completion of the audit.

14. A non-transient computer readable medium comprising program code, which when executed by a processor is configured to cause the processor to:

generate a shipment record comprising one or more of a first data set from a first invoice or a second data set from a manifest;

receive a second invoice comprising a third data set; and

conduct, prior to authorizing a payment of the first invoice or the second invoice, an audit by comparing the shipment record to the third data set based on a range of predefined tolerances to determine whether there is a discrepancy between the shipment record and the third data set;

and wherein, upon a failure of the audit, the non-transient computer readable medium is further configured to cause the processor to:

receive a replacement data source comprising a replacement data set;

generate a replacement shipment record comprising the replacement data set; and

conduct a second audit of the replacement shipment record.

15. The non-transient computer readable medium of claim 14 , further comprising program code which when executed by the processor is configured to cause the processor to:

receive the first invoice comprising the first data set; and

receive the manifest comprising the second data set.

16. The non-transient computer readable medium of claim 14 , wherein the shipment record comprises a plurality of data fields configured to be populated with one or more of data from the first invoice or the manifest.

17. The non-transient computer readable medium of claim 14 , further comprising program code which when executed by the processor is configured to cause the processor to: authorize payment of the first invoice or the second invoice upon completion of the audit.

18. The non-transient computer readable medium of claim 14 , further comprising program code which when executed by the processor is configured to cause the processor to:

generate a list comprising at least two shipment records that have failed the audit, wherein the list is configured to be viewed by an auditing entity.

The non-transient computer readable medium of claim 14 , wherein each of the first data set and the second data set comprise at least one of: carrier identification, shipment identification information, bill of lading identification information, purchase order identification information, purchase order location, shipping company identification, consignee identification, vessel identification, carrier identification, shipment origination information, shipment destination information, shipment date, arrival date information, invoice identification information, shipment rate, shipped item identification, shipped commodity information, shipment volume, shipment quantity, shipment weight, container identification information, container size, quantity of containers, carton quantity, carton identification information, and carton contents.

20. The non-transient computer readable medium of claim 14 , further comprising program code which when executed by the processor is configured to cause the processor to:

generate an approval notification message, a failure notification message, or a discrepancy notification message upon completion of the audit.
